Below is the original posting of the sign up rules.
Minna no Anime will be reserving a few rooms at the Marriott in San Jose [the one attached the actual convention center]. Cost per person will depend on how many rooms there are and how many people want to be in the club room. Details are below:
There will be at least 7 guests per room. The hotel lists 4 people per room, but having more reduces the cost per person.
The Marriott is located here: Google Maps. You are responsible for getting to Fanime, not the club.
Payment will be due after list is finalized. For reference the cost previous years usually averages around $80 per person.
Note that while I will try splitting the males and females into different rooms, if an overwhelming imbalance sign up, then I have no choice but to make it mixed.
Please sign up to be in the room either in this thread, or at club. I will update the list of people and their assigned rooms as time passes.
THE LAST DAY TO SIGN UP/DROP OUT IS ON APRIL 9TH! That's the weekend BEFORE open house.
Payment will be due 2 weeks from then, on April 23. If I do not receive a payment from you by then, I will assume that you have cancelled.
You can request to be in or not be in a room with certain people. I will try to accommodate, but it isn't guaranteed.
I need ways to contact you. Both email for planning, and phone for at Fanime. Please provide me your full name, email, and phone number.
ALSO KEYS:
Marriot only gives out 3 keys per room. Therefore not everyone will have a key. A key is both a responsibility and a right. Having one means you can access the room whenever you want, but it also means you need to let other people that don't have a key that are supposed to be in the room, into the room. Please tell me if you prefer to have a key or not. I can't have everyone asking for keys or nobody taking the responsibility to let others into the room. Your phone number will be given out so that others in the room can contact you to get into the room. This is to avoid situation where people are locked out and unable to contact anyone in order to get into the room.
FAQ:
It's fine if you don't stay the full 3 nights, but I still have to charge you the same amount as everyone else. That's because I can't really have people saying "I'm only gonna stay for 1 night on Friday, can I only pay for that night?" since that would add too much complexity to keeping track whos in which room and the amount of money each persons owes. So to keep it simple you'll be paying for the full 3 nights, but you're welcome to arrive late or leave early.I was probably only going to stay for the weekend, but if that doesn't work with room rentals then I can stay the full 4 days. Is there a room just staying for the weekend?
I, or any other officer, won't be keeping you in any group. The time at Fanime is your own time. The only thing we're managing is the room you'll be staying in should you choose to, you don't have to hang out with people in the room the entire time at con. But, there is kinda a MnA groupie, and you're free to go with them during Fanime and split off whenever you like.I have some friends that I'll probably be hanging out with there, does anime club usually stick together the whole time or are we allowed to split off?
TO BE CLEAR:
I'm only handling rooming. Nothing else. So stuff like rides, food, etc, you'll need to figure out. We put out an offer/interest list for rides closer to Fanime, but that's purely member to member negotiations. It's really for legal reasons, club itself can't provide rides, otherwise everyone would need approval from ASI to go to Fanime, which would just make things harder for no reason. But we'll help out anyone that needs a ride in case there are any last minute problems.
